Who we are.

AJM Solutions Inc. is a Calgary, Alberta company. Alberta’s Personal Information Protection Act governs how we handle personal information. Where information crosses provincial or national borders, the federal Personal Information Protection and Electronic Documents Act also applies.

What we collect.

  • When you use our form: your name, company, email, phone, and anything you choose to tell us in your message.
  • When you visit the site: analytics cookies record the pages you visit, your browser and device, and an approximate location from your IP address. They are set by HubSpot and Google Analytics.
  • When you email or call us, or engage us: what you send us. Information about a client’s business is also covered by our engagement letter and, where one is signed, a non-disclosure agreement.

Why we collect it.

To reply to you and arrange a call. To prepare for and carry out an engagement if you engage us. To keep the records the law and our professional obligations require. To see which pages are read, so we can improve the site. We use your information only for these purposes, unless you agree otherwise or the law requires it.

Consent.

By sending us the form, you consent to these purposes. You can withdraw your consent at any time by contacting us, subject to legal or contractual limits. We will tell you what withdrawing means.

Email.

We reply to your enquiry. We won’t add you to a newsletter or marketing list unless you ask us to. Any such email will identify us and include a way to unsubscribe.

Who we share it with.

We don’t sell or rent personal information. We share it only with:

  • service providers who act for us, under confidentiality obligations;
  • our professional advisors, in confidence;
  • anyone the law requires us to disclose it to.

Service providers and storage outside Canada.

We use service providers for our contact records and forms (HubSpot), analytics (Google Analytics), email and documents (Microsoft 365), and website hosting. Some of them store or process information in the United States as well as Canada. Information held outside Canada is subject to the laws of that country, and may be accessed by its courts or authorities. Our written policy on service providers outside Canada is available on request from the privacy contact below.

How we protect it.

Access is limited to the people who need it. We use password-protected business services. We apply the safeguards our professional obligations require.

How long we keep it.

Enquiries that don’t lead to an engagement are kept for two years, then deleted. Engagement records are kept as long as the law and our professional obligations require, then securely destroyed.

If something goes wrong.

If a loss of or unauthorized access to personal information creates a real risk of significant harm, we will notify the Office of the Information and Privacy Commissioner of Alberta, and the people affected, as the law requires.

Your rights.

You can:

  • ask to see the personal information we hold about you (we answer within 45 days, as the law requires);
  • ask us to correct it;
  • withdraw your consent;
  • if you are not satisfied with our answer, complain to the Office of the Information and Privacy Commissioner of Alberta (oipc.ab.ca).

Cookies.

You can decline analytics cookies with the Opt out button on the banner, or block them in your browser. The site works without them.
